Price Includes: Table - 6' long, 24" wide and 2 chairs for each table.
The Iowa Veterinary Medical Association will refund the table fee only if both of the following conditions are met:
a. A written request for cancellation is received by the IVMA.
b. The table can be resold to another vendor prior to the start of the meeting.
EXHIBIT SET-UP AND DISMANTLING TIMES:
Exhibit set-up is from 5:00 - 9:00 p.m. Tuesday, February 11, 2014. Exhibitors must be set up by 7:30 a.m. on Wednesday, February 12th. Dismantle after 3:30 p.m. on Thursday, February 13, 2014.
Display materials may be shipped up to two days in advance of the meeting. Ship to: Iowa State Center, c/o Iowa Veterinary Medical Association, Iowa State University, Scheman Building, Suite 4, Ames, IA 50011. Questions call: Pat at 515/294-3598.
The Exhibits will be open - Wednesday, February 12, 2014, from 7:30 a.m. to 5:00 p.m. and Thursday, February 13, 2014, from 7:00 a.m. to 3:30 p.m. Please note that there will be a reception in the Exhibit Hall on Wednesday evening from 5:30 to 7:30 p.m. All exhibitors are encouraged to attend.
Exhibitor representatives are responsible for making and guaranteeing their own reservation. The Winter Conference hotel is the Gateway Hotel & Conference Center, 2100 Green Hills Drive, Ames, IA. Reservations can be made at 515/292-8600.
SUBLETTING OF SPACE:
No exhibitor may assign, sublet, or apportion the whole or any portion of space allotted, nor exhibit therein any goods other than those manufactured or handled by the exhibitor in the regular course of business, nor permit any representative of any firm not exhibiting to solicit or take orders.
EXHIBITOR DISPLAY POLICY STATEMENT
The IVMA will not allow the distribution of souvenirs, printed matter, balloons, or other items considered objectionable by the IVMA. Distribution outside of an exhibitor’s rented booth space is not allowed without special written permission from event management.
Any undignified solicitation on the part of an exhibitor shall be promptly reported to the IVMA. The IVMA reserves the right to close any exhibit which conducts its solicitation in an objectionable manner or infringes upon the rights and privileges of other exhibitors.
Products and services to be exhibited include veterinary specific products, business enhancement services, financial opportunities and personal use products appropriate for a family venue. The IVMA reserves the right to disqualify potential exhibitors not complying with IVMA rules and regulations. Ineligible exhibits include, but are not limited to: those exhibiting illegal services or activities; those espousing philosophies or actions in opposition to those of the IVMA; those that are harassing, discriminatory or violate the AVMA Code of Ethics; and those not appropriate for a family venue.
ANIMAL USE (INCLUDING USE OF ANIMAL TISSUES & PERSONAL PETS)
Product demonstrations, company mascots and celebrity animals are permitted; however, preapproval by IVMA is required. Each
animal must be badged and reported to the registration desk. Please contact the IVMA two weeks prior to the meeting to obtain
- No dead animals, cadaver parts, biohazards or live bacterial cultures are permitted.
- No demonstrations of laser or radiosurgical incisions or electrocautery are permitted on meat.
- No personal pets are permitted. (Sorry, no exceptions.)
Audio amplification or machinery noise from a booth activity must be limited to a reasonable level. Specifically, individual headphone
service is suggested for conducting lectures or demonstrations within a booth space.
· Demonstrations may not be directed to an audience gathered in the aisle. If music is reproduced in the booth, the exhibiting
company assumes full responsibility for paying all fees levied by BMI and ASCAP.
It is expressly understood and agreed that the IVMA and Prairie Meadows Events Center will not be responsible or liable in case of fire, theft, or damage to exhibitor equipment on the premises. Exhibitors must provide their own insurance coverage to protect themselves and their equipment, and to cover any damages to the property of Prairie Meadows. Each exhibitor, on signing the Application for Table Space, assents to such qualification and expressly releases the Iowa Veterinary Medical Association from damage.
